Phone integration

Keep your phone system. Connect it to Everglow.

Know who’s calling before you answer. When a call comes in, Everglow matches the number to your customers, contacts and leads, and puts their sites, visits, quotes and history in front of the person taking the call.

Your phone system stays in charge of the calls. Everglow doesn’t place, answer, record or transfer them — it shows who’s calling and helps your office act on it.

The Caller Workspace during a call: who is calling, the actions for them, the site and next visit, open work, a quote waiting and the open balance.
  1. Who is calling — matched to the customer, with who has the call.
  2. Act from the call — a case, a quote or a request.
  3. Where and what’s next — the site and the next visit.
  4. Money — open balance and overdue invoices, for people allowed to see money.
Caller identification

Turn an incoming call into customer context.

The number that’s calling is checked against the phone numbers on your customers, contacts and leads. Everglow says what it knows — and what it doesn’t.

Known numberOpens their record
Shared numberShows every match, picks none
New numberSays so, and offers to add it
Hidden numberSays no caller ID
Screen pops

The call lands on the right screen.

A call for someone you’ve mapped pops on that person’s screen. Calls nobody has answered yet show for the office, and a transfer moves the call to whoever has it now.

The call tray lists live calls and the ones that just ended, each one tap from its details. Hide it when you need the screen; turn screen pops off if you’d rather not see them.

An incoming call from a number Everglow does not know: the caller panel offers Create lead, Create customer and Add number to existing.
Caller Workspace

Everything about the caller, in one place.

Their sites and the next visit, open work, service plans, quotes waiting on them, open cases and requests, and recent activity. For the people allowed to see money, it also shows the open balance, what’s overdue and the last payment.

It opens beside what you were doing, so the board, the calendar or a quote stays where you left it.

The Caller Workspace for a known caller: who is calling, their open work, balance and recent history in one panel.
Act on the call

Turn the call into work.

For a new caller: create a lead or a customer, or add the number to someone you already have. For anyone: open a case or a service request, or start a quote that opens in the estimator with the customer and site already filled in.

Each action is the same one you’d take anywhere in Everglow, with the same checks — including a warning before you create a duplicate — and the call keeps a record of what came of it. Nothing is sent to the customer on its own.

The Caller Workspace for an unknown caller: Create lead, Create customer and Add number to existing, and a note that nothing in Everglow matches the number.
Setup

Your phone system stays. Everglow gets the call events.

Everglow supports a provider-neutral connection for compatible phone systems and integrations. Your phone system — or a small integration your VoIP provider or developer sets up — sends Everglow a signed message when a call rings, is answered, is transferred and ends. The owner sets it up in Settings.

Business numbersCalls reach your shop by the number that was dialed. A number you haven’t added is refused, never guessed.
AgentsMap each person’s id in your phone system to their Everglow login, so their calls pop on their screen. No guessing from names.
QueuesMap your queues so a waiting call shows which line it’s in.
Settings, Phone integrations: the main line as a business number, two team members mapped to their phone system extensions, and a Service line queue.
Status you can trust

Know it’s working, not just connected.

A connection says Ready only when it has its secret and a business number, Receiving events once real calls arrive, and Error when something recent failed. What your integration says it sends stays Declared until real calls prove it, then shows as Verified. Test connection checks the setup without creating anything, and diagnostics show refused calls, unmapped agents and queues, and resent or rejected requests.

What your integration sends: incoming call events, agent identity and queues verified by received events; transfers and conferences declared and not seen yet.
What it isn’t

It doesn’t replace your phone system.

Not a phone serviceKeep your provider, numbers and phones. Everglow doesn’t sell lines or minutes.
No dialing or recordingNo calling out from Everglow, no call recording and no transcripts.
For the office that answersBuilt for a service business’s front office, not a large call center.
Questions

What people ask about it.

Does it work with my phone system?

It works with phone systems and integrations that can send call events to Everglow. There is no list of built-in providers: Everglow publishes one documented connection that your phone system, your VoIP provider or a developer can use, and the guide is in Settings → Phone integrations.

Do I have to change phone providers?

No. You keep your provider, your numbers and your phones. Everglow receives the call events and shows the caller’s context; your phone system keeps handling the calls.

Does Everglow record or place calls?

No. There is no dialing out, no call recording, no transcripts and no call control. Everglow shows who is calling and helps your office act on the call.

What happens when a number belongs to more than one customer?

Everglow shows each possible match and leaves the choice to the person on the call. It never picks one for you.

Who sees incoming calls?

Owners, office staff and dispatchers. A call for a mapped person pops on that person’s screen, and calls nobody has answered yet show for the office. Each person can turn screen pops off. Field techs don’t see the call tray.

How is the connection secured?

Each connection has its own signing secret, shown once and stored encrypted. Everglow refuses any message that isn’t signed with it, and a connection only ever reaches your own shop.

Which plans include it?

Every plan — Solo, Crew and Multi-location. There is no add-on for it.
