Roll-off & dumpster rental

Waste software built around the container, not just the customer.

Know where every box is. Book it without double-booking it. Put the delivery and the pickup on the board together, and bill the extra days and tons the scale ticket proves.

Where roll-off money leaks

Three mistakes that cost an owner more than the software does

The pickup nobody scheduled

A box with no pickup on the board sits on a finished job while you turn away the next rental. Every Everglow rental is booked with its delivery and its pickup together.

The 20-yard promised twice

You cannot rent a box you do not have, however free the driver is. Everglow reserves one numbered container for the dates and refuses the booking when every box of that size is already promised.

The overage nobody billed

Days past the included period and tons past the included weight are the margin on a roll-off job. Everglow works them out on return from the dates and the verified scale tickets, with the arithmetic shown.

01 · Containers

Know where every container is.

Each physical box gets its own number, size, condition and yard location. Its status changes with the work: reserved when it is booked, on rent when it is delivered, back in the yard when it is returned.

Open a container to see where it is now, every rental it has been on, the tons it hauled and the scale tickets behind them, and a change log of who edited it. A box with rental history is deactivated rather than deleted, so the history stays.

Owners and dispatchers manage the fleet. Office staff can see it. Field accounts do not see inventory at all.

Container 20-114: on rent at a job site in good condition, with two rentals in its history, each with dates, tons hauled and scale-ticket count, and its change log. The container list on a phone: counts available, reserved, on rent and in service, then each numbered container with its status.
A new rental order for a 20-yard dumpster: customer, job site, delivery and pickup dates and windows, placement instructions, and the price from the rate card with the included days and tons and the extra-day and extra-ton prices.
02 · Booking

Book rentals with the right price and a box that is really free.

Set a rate card for each size: base price, delivery fee, included days, included tons, and what an extra day and an extra ton cost. A new rental quotes from that card and checks how many boxes of that size are free for those dates before anything is reserved.

The quoted price travels with the booking, so it cannot be edited on the way in, and changing the dates means quoting again. If two people go for the last 20-yard at the same moment, one gets it and the other is told there is none left.

Reserving a container does not invoice or charge the customer.

03 · Delivery and pickup

Never lose track of a drop-off or a pickup.

A booking creates the delivery visit and the pickup visit together, both tied to the rental. The rentals overview then lists what needs delivering, what is out, what has come back and still needs its scale tickets, and what is ready for billing review.

Confirming a delivery means typing the number of the box that went out, so the wrong box cannot be marked delivered. Move a pickup date, cancel a booking or record a return from the same screen; a return with no date is recorded on the shop’s own day.

Placement notes stay on the rental: “Driveway, left side. Plywood under wheels.” The yard count by size sits right above the list.

The rentals overview: deliveries, returns and scale tickets to handle, rentals waiting for billing review, how many boxes of each size are in the yard, the containers out on site with their placement notes, and the booking still waiting for delivery listed on its own.
Entering a scale ticket on a rental: ticket number, landfill, disposal date, gross and tare pounds, disposal cost and material, under the rental's two verified tickets. The same scale-ticket form on a phone.
04 · Scale tickets

Capture disposal weights from the ticket, once.

Owners, dispatchers and office staff enter the landfill or transfer-station ticket straight onto the rental: ticket number, facility, date, the weight as net tons or as gross and tare pounds, the disposal cost and the material. Outside haulers can send theirs in from the hauler portal.

A ticket number counts once per rental, however many times it is submitted. The disposal cost is posted once as a shop cost, not a customer charge, and the rental’s tons are always the sum of its verified tickets.

A ticket that arrives without its weight is marked incomplete, and the rental cannot be final-billed until the office corrects it. Every correction needs a reason and keeps the values before and after.

05 · Billing

Bill the extra days and the extra tons, every time.

When the box comes back, Everglow counts the days on site against the days included and the verified tons against the tons included, and prices the difference from the rental’s rate card. You choose whether those charges are taxable.

The final invoice cannot be drafted while any scale ticket on the rental is still unverified, so a missing weight is caught before the bill goes out. Once the final invoice exists, the rental’s tickets are locked.

Managing rental R-102: change the pickup date, record the return, and two verified scale tickets totaling 3.910 tons against 2.000 tons included.
Worked example: rental R-102 aboveIncludedActualOverRateCharge
Days on site792$15.00 / day$30.00
Tons from verified tickets2.0003.9101.910$95.00 / ton$181.45
Extra charges on the final invoice$211.45 + tax if taxable

Using the demo company’s 20-yard rate card ($425.00 for 7 days and 2.000 tons, $65.00 delivery, $15.00 per extra day, $95.00 per extra ton), if R-102, delivered October 5, came back October 14. The tons are its two verified tickets: 1.150 + 2.760.

06 · Disputed charges

When a customer argues the overage, settle it on the record.

The office records the dispute

The charge type (weight, extra days, service issue, goodwill), the amount in question and the customer’s reason go on the rental’s billing review. While it is open, payment on that final invoice is paused, including through payment links and connected tools.

The owner decides

Only an owner can approve or decline it. An approval is not a credit yet, and the screen says so.

The credit lands on the invoice it belongs to

The owner posts the approved amount as a credit to the final invoice while it is still a draft, and the balance follows.

Nothing disappears

The request, the decision, who made each and why stay with the rental, next to the scale-ticket corrections and their reasons.

07 · What’s owed

Know what each rental has billed and what is still owed.

Two invoices, one rental

The rental up front and the extra days and tons on return, both attached to the same rental, so the second bill is never a mystery to the customer or to you.

Payments that add up

Record a check, ACH transfer or cash against the invoice and the balance updates. A payment for more than the balance, including on an invoice that is already paid, needs a deliberate confirmation, and a void invoice takes no payment at all.

One ledger

Rental invoices sit with the rest of your invoices and balances, and disposal costs sit with your other job costs.

08 · Desktop and mobile

Run the yard from the office or from the truck.

The same rentals, containers and scale tickets in the office browser and on a phone. Owners, dispatchers, office staff and field crews each see what their role allows.

Using outside haulers?

Sell the job, send the haul, keep the customer.

If some of your boxes go out on other companies’ trucks, each delivery, swap or pickup can go to an outside hauler. They get their own login to accept the work and send back the photo and the disposal ticket. You see what the job made after hauler cost and disposal.

Being straight

What this is not

Not live GPS on the trucks

Deliveries and pickups are visits on your schedule. Everglow does not track where a truck is.

Not a landfill or scale-house integration

Weights come from the ticket your office or hauler enters. Everglow does not connect to the transfer station’s scale.

Portable toilets and temporary fence, on the same jobsite

Rent portable toilets, ADA units and handwash stations, and temporary fence panels and gates, from the same account as your containers. Every toilet and handwash station is a numbered unit that cannot be promised twice; fence is counted in panels, gates and linear feet. Delivery, recurring service and pickup stops go on the dispatch board, and crews complete a per-unit checklist (pumped, sanitized, restocked, refilled) with photo proof. Extensions and early pickups are recorded with a reason. Bill the whole job on one jobsite invoice, or week by week; your customer approves each invoice, in their customer portal or by signed contract, before it is sent.

Junk removal and hauling, on the same board

Junk removal runs as ordinary jobs, not rentals. Customers book online or you quote on site, and each load is priced from your own price book (a quarter, half or full truck, for example). Pickups go on the dispatch board in route order, crews attach job photos, and the invoice goes out with card payment through your own Stripe account. Junk jobs do not use container inventory, scale tickets or overage billing; those stay with dumpster rentals.

Not a refund system

An approved dispute becomes a credit on the draft final invoice. Everglow does not send money back to a customer’s card, and adjusting an invoice that has already been sent is a review step, not an automatic credit.

Questions

Roll-off questions owners ask

Does Everglow stop double-booking a dumpster?

Yes. A booking reserves one numbered container for its delivery and pickup dates. When every container of that size is already promised for those dates, the booking is refused, and two bookings made at the same moment cannot both take the last one.

How are extra days and extra tons billed?

Each size has a rate card with a base price, a delivery fee, included days, included tons, and a price per extra day and per extra ton. On return, extra days come from the delivery and return dates and extra tons from the verified scale tickets. The final invoice is only drafted once every scale ticket on the rental is verified.

Who can enter scale tickets?

Owners, dispatchers and office staff enter them from the landfill or transfer-station ticket, as net tons or as gross and tare pounds. Outside haulers can send theirs from the hauler portal. Corrections need a reason, and the values before and after are kept.

Does it track trucks by GPS or connect to the landfill?

No. Everglow does not track trucks and does not connect to landfill or transfer-station scale systems. Weights come from the scale ticket your office or hauler enters.

What happens when a customer disputes an overage?

The office records the disputed charge and the reason, and payment on that final invoice is paused. The owner approves or declines it, and an approved amount is credited to the final invoice while it is still a draft. Everglow does not issue card refunds.

What does it cost?

$149 a month on the Crew plan, with unlimited users. Solo is $49 a month for one person, and Multi-location is $299 a month. Every plan starts with a 14-day trial.
